    The Executive Assistant will support our Graduate Medical Education Team based in Houston, TX to perform complex administrative duties to include scheduling calls, meetings and coordinating travel, processing expense reports, composing correspondence, coordinating resources across corporate functions, along with handling various administrative details with initiative and good judgment.

    This role is office based at HCA Gulf Coast Division Headquarters in Houston, TX.

    Job Summary and Qualifications

    • Coordinates necessary travel arrangements and processes travel expense reports via Concur and prepares reimbursement reports as requested

    • Schedules meetings (internal/external to the organization) conference calls, teleconferences and web seminars as requested

    • Maintains Outlook calendars, schedule meetings, video conference calls, and email as assigned

    • Prepares reports for company activities as required

    • Performs a wide variety of duties such as, composing correspondence, preparation of forms, charts, schedules, and presentation materials as needed

    • Establishes and maintains confidential and operational files for the Executive Team and maintains confidential and operational files as requested

    • Maintain distribution lists and updates organizational charts

    • Maintains offices space assignment charts and helps onboard new hires

    • Maintains adequate supplies and orders special supply requests, as needed

    • Flexible in supporting any office projects needing extra attention due to specific deadlines

    • Schedules and organizes complex activities such as meetings and trainings, with and without meal service, onsite and offsite one- and multi-day events, dinners, and department activities.

    • Manages various department projects and works to ensure deliverables are being met.

    • Establishes or maintains electronic document repositories such as SharePoint or OneDrive as requested.

    • Acts as the first point of contact for the executive when fielding questions, calls and requests. Responds or researches the correct response.

    • Acts as a professional liaison with other departments, facilities and outside agencies, including high-level staff such as CEOs, Presidents, Senior Vice Presidents, etc.

    • Handles information and non-routine information and maintains confidentiality.

    • Works independently and with the executive on special non-recurring and ongoing projects

    EDUCATION & EXPERIENCE:

    • Minimum Associates Degree or 60 hours college credit required

    • Four to five years of administrative experience is required, including at least one year in a healthcare organization (appropriate education may be substituted for experience).

    • Accountability and trust to manage tasks and responsibilities of the role.

    • High level of interpersonal skills to handle sensitive and confidential situations.

    • Attention to detail in composing, typing and proofing materials.

    • Ability to establish priorities, multi-task and meet deadlines.

    • Strong working knowledge of a variety of computer software applications in the Microsoft Office suite of programs (Microsoft Office Suite, including Word, Outlook

    • Calendar, Excel, etc.).

    • Excellent interpersonal skills and ability to work in a cooperative manner with all levels of the team.

    • Position continually requires poise, tact and diplomacy.

    • Practices proper business etiquette for in-person, telephone and virtual communication.

    • Formal business attire environment.
