    Work Schedule: 8 Hr (8:00:00 AM - 4:30:00 AM)

    Summary:

    The Program Coordinator is responsible for administrative coordination of clinical programs. This will entail coordination for physicians, clinical staff, clinical resources such as exam rooms or operating rooms, equipment, etc. for clinic patient programs that involve special processing and selection of patients, patient scheduling, and special reporting and collection of data. Primary responsibilities include (but not limited to) coordinating and communicating with the physician and patients to ensure that the pre-appointment process is complete; collecting and reporting on utilization data, supply data, and patient data; leading an improvement committee within the clinical team to improve utilization; and participating in any process committees as designated by clinic management.     Responsibilities:

    Job Responsibilities:

    Acts as a liaison between physician leadership, medical staff, resident physicians, patients, and clinic management to ensure our program excellence, improve patient experience and overall increase quality and efficiency. This includes participating in program led committees.

    Provides direct communication to patients interested in specialty programs. This includes fielding calls, educating, and reaching out if necessary during the pre-appointment process. Schedules all patient appointments and procedures related to the program. This can include scheduling all activates on the calendars of the clinical personnel as well.

    Assists in the creation of periodic reports by providing data on utilization, cancelations, referrals etc.

    Participates when needed in the Patient Relations and Recovery Program by handling escalating patient concerns, patient recovery activities, and overall patient satisfaction.

    Manages and coordinates program clinic utilization. Collects data and evaluates use of clinic resources.

    Assists the program faculty in coordination with the marketing department to ensure patient awareness of these specialty programs.

    Coordinates the program processes including policy and procedure, patient and physician workflow analysis, monitoring and managing utilization by time and volume.

    Act as a liaison for each program patient, coordinating and monitoring all aspects of the patient's activities including but not limited to interviewing the patients, providing the patients with pre-clinic requirements, informing patients of clinical timelines, ensuring the pre-authorization process is complete and educating the patient on the process.

    Oversees the ordering of all special program needs, special supplies, instruments, and equipment. Coordinates the use of special equipment when moving it from one facility to another.

    Provides administrative functions for the providers involved in the program(s).

    Required Job Qualifications:

    High School Diploma.

    3 years of experience in Medical Office/Hospital experience/OR operation experience

    Understanding of the operation of an ambulatory clinic.

    Knowledge and skills working with an EMR and scheduling system. Proficient in basic Microsoft Office Suite, EPIC (Hyperspace) knowledge is an advantage.

    Solid communication and interpersonal skills and great customer service skills.

    Be able to work under time constraints and multi-task.

    Preferred Job Qualifications:

    Bachelor's Degree.
