    Job Description

    STATEMENT OF PURPOSE:The Administrative Assistant/ Receptionist is responsible for providing the highest level of customer service.

    RESPONSIBILITY FOR THE WORK OF OTHERS:This position holds no direct supervisory responsibility.

    SPECIFIC ACTIVITIES INCLUDE, BUT ARE NOT LIMITED TO:

    • Greets and welcomes patients, program participants, retail store customers, clients, visitors, donors, staff members, etc. in a courteous and professional manner, reflecting a positive and helpful agency image; notifies appropriate staff of their arrival and helps to capture/maintain program attendance

    • Answers incoming phone calls, retrieves voice messages and returns all phone calls by the end of the business day they are received;

    • Offers on-going assistance to guests providing direction within Chicago Lighthouse North and responds appropriately to their specialized needs;

    • Assists with retail store operations as needed.

    • Prepares and packs items to be shipped;

    • Answers customers questions and makes proper referrals when necessary;

    • Inputs customer demographics into appropriate databases;

    • Assists in inventory process;

    • Provides referrals to Lighthouse programs, DHS and other appropriate community services;

    • Files and scans patient charts as needed;

    • Organizes and maintains paperwork, referral letters, information sheets, and vouchers for appropriate action;

    • Coordinates paperwork and mailings as needed;

    • Responds to requests for medical information in a timely manner, abiding by all HIPAA requirements;

    • Assists as needed with registration, collecting demographic and insurance information, accurately entering them into patients medical record & computer file, and scans any necessary documentation;

    • Collects payments for deductibles, co-payments and non-covered services, such as refraction fees, at point of service;

    • Under the direction of the VP, assists with special activities and programs as needed;

    • Performs other duties as assigned by Supervisor.

    QUALIFICATIONS FOR THIS POSITION:

    • High school diploma (or equivalent) required; some college preferred;

    • More than 2 years of experience as a receptionist in an office or health care clinic setting;

    • Good working knowledge or willing to learn about low vision aids, devices, and technologies;

    • Excellent computer skills including Internet, Word, Excel and experience with patient scheduling program preferred;

    • Excellent verbal and written communication skills;

    • Strong interpersonal skills and customer orientation, and ability to interact with a variety of internal and external customers required;

    • Ability to cooperatively problem solve with various departments;

    • Good organizational skills and patience while handling multiple demands necessary;
